SCS Billing Practices


Hourly and printing charges are automatically charged to a customer's university account.

A student's university account is where tuition, mandatory fees, special course fees and other on campus department purchases are charged. Additionally, a student’s University Account is where SCS charges are posted.

SCS charges are typically posted to student university accounts 1-2 business days after the charge was incurred.

The university no longer mails out paper bills to students or parents, so it is the student's responsibility to access their student account online. Students can access their Student university account by logging in with their Network ID and password at my.wsu.edu and clicking on the Finances tab on the left hand side.

Customer Payments

SCS charges are considered due when the charge is incurred. SCS charges that remain unpaid for over 60 days will result in the suspension of your SCS account until payment is made.

There are two ways you can make a payment on your SCS charges:
Online
Go to my.wsu.edu, log in with your Network ID and password, click on the “Finances” tab on the left hand side, and select the “Pay Now” link next to your university account Balance.
If you want to pay your SCS charges online at my.wsu.edu but have non-SCS charges on your university account as well, you must pay your entire university account balance in full when paying online, otherwise, the SCS charges may not be credited.

Cashier's Office
Go to the WSU Cashier’s Ooffice on the second floor of the French Ad Building, tell the cashier you would like to pay your SCS balance.

Refund Policy


All refund requests must be brought to the SCS administrative office in room 2091 of the IT building. For Admin office hours, see our Hours of Operation page.

SCS Semester Pass Via MyWSU


The Student Computing Services Semester Pass is available as an optional purchase when students register for classes each semester. If a student does not wish to keep the Semester Pass, they must contact SCS before week 8 of the semester and SCS will refund the pass in full if it has not been activated. After week 8 of the semester, if a student requests a refund of a Semester Pass that has not been activated, a $12.50 administrative fee will be charged to the student’s university account for refunding the pass. The Semester Pass is activated when a student logs in to an SCS computer for the first time each semester. Once a Semester Pass is activated, there are no refunds.

If you are a resident in a WSU Residence Hall, unlimited access to the four Residence Hall SCS labs is already covered in your dues. Full refunds will be issued for the first eight weeks of school whether the pass has been activated or not. Refunds less a $12.50 administrative fee will be used after week 8 of the semester.

Printing Charges


Print refunds are available on a case by case basis. If there is a printer malfunction, (such as a paper jam or toner issue) you must notify the Student Technology Consultant on duty in the lab immediately. Refunds for printer related malfunctions will not be issued at a later date.

If you are experiencing issues with printing, contact the Student Technology Consultant on duty.

SCS does not issue print refunds for user error.

Hourly Charges

Product Purchases


If you purchased a product in the lab and wish to return it, the item must be unused and in the unopened original packaging to be returned for a refund within 30 days of purchase. All returns must be made in the SCS administrative office, room 2091 of the IT building.

Hourly to Semester Pass Switchover


Hourly account holders may choose to switch to a semester pass for a $12.50 administrative fee.
To have your account changed, you must visit the SCS Administrative Office in IT Building 2091 to request the switchover in person. SCS will not do this automatically.
